Ask a small business owner where last month's enquiries are and the answer is often: "Some in WhatsApp, some in my phone's call log, some in a diary, some in email." Leads that aren't recorded are easily forgotten. A CRM (customer relationship management system) is simply one organised place where every lead and customer is recorded, with what happened and what happens next.
What a CRM does for a small business
- Records every enquiry with source, requirement and contact details.
- Shows the status of each lead: new, contacted, quoted, won, lost.
- Reminds you to follow up.
- Keeps customer history for repeat sales and service.
- Shows which marketing channels bring paying customers. See measuring marketing ROI.
Stage 1: A spreadsheet CRM
For a business with a few enquiries a day and one or two people handling them, a shared Google Sheet works well. Columns:
| Column | Example |
|---|---|
| Date | 14 Oct 2026 |
| Name / Phone | Rajesh, 98XXXXXXXX |
| Source | Google Maps |
| Requirement | Ludhiana → Delhi Airport, 20 Oct, Innova |
| Status | Quoted |
| Next follow-up date | 15 Oct |
| Assigned to | Aman |
| Value / Lost reason | ₹X / "Price too high" |
Use data validation dropdowns for Source and Status, and filter by "Next follow-up = today" every morning.
Signs you've outgrown it: several team members, many leads per day, need for automatic reminders, or leads arriving from forms and ads that you copy manually.
Stage 2: An entry-level CRM
Many CRMs offer free or low-cost plans for small teams — for example Zoho CRM, HubSpot's free CRM, Bitrix24, and various India-focused tools with WhatsApp integration. Plans and pricing change, so compare current offers. Key features to look for:
- Easy mobile app — your team will use it on phones.
- Pipeline view — drag leads between stages.
- Automatic lead capture from website forms and Meta lead ads.
- Follow-up reminders and tasks.
- WhatsApp integration or at least one-tap WhatsApp from a lead.
- Reports by source and stage.
- Data export — you should always be able to take your data out.
- Indian data and billing support if relevant — GST invoices, INR pricing.
Stage 3: A custom CRM
Some businesses have workflows that off-the-shelf tools don't fit well — for example taxi bookings with drivers and vehicles, or service jobs with technicians. A custom admin panel connected to your website can handle leads, bookings and follow-ups in one place. It costs more to build but fits exactly. We often build these for taxi and service businesses alongside their websites.
Setting up your pipeline
Keep stages simple and clear:
- New
- Contacted
- Requirement understood / Quoted
- Negotiation (optional)
- Won
- Lost (with reason)
Agree what each stage means so everyone uses it the same way.
Getting your team to use it
- Start with the minimum fields — more fields mean less usage.
- Make it part of the daily routine: morning follow-up list, evening update.
- Review the pipeline in a short weekly meeting.
- Connect forms and ads so leads appear automatically.
- Celebrate wins shown in the CRM; don't use it only for blame.
Data protection
A CRM holds personal data. Use strong passwords and two-factor authentication, give access only to people who need it, remove ex-employees promptly, and record consent for marketing messages. See our DPDP checklist.
Frequently Asked Questions
Is a CRM worth it for a one-person business?
A simple spreadsheet CRM is worth it for anyone who gets more than a few enquiries a week.
Can my website forms go directly into a CRM?
Yes, most CRMs provide web forms, APIs or integrations. Custom PHP sites can send leads to a CRM or save them in their own admin panel.
What about WhatsApp chats?
Log each new WhatsApp enquiry as a lead, or use a CRM with WhatsApp integration. See WhatsApp Business App vs API.
How long does setup take?
A spreadsheet in an hour; an entry-level CRM in a few days including team training.
Need a lead system that fits your business?
Joboo Web builds admin panels and connects forms to CRMs. See lead follow-up systems, web development, or contact us.
