One of the most expensive website problems is also one of the quietest: the contact form looks fine, visitors submit enquiries — and nothing arrives. Businesses often discover it weeks later. Here's how to diagnose and fix the usual causes.
First, test properly
- Submit the form yourself from a phone and a computer.
- Check the inbox, spam/junk folder and promotions tab.
- Check whether the website shows a success or error message.
- If your site saves leads to an admin panel or database, check whether the entry appears there.
This tells you whether the problem is in the form, the server or email delivery.
Common causes and fixes
1. Emails going to spam
The website sends email from your domain without proper authentication. Fix: send through authenticated SMTP (your business email provider), and set up SPF, DKIM and DMARC. See our business email guide.
2. PHP mail() blocked or limited
Many shared hosts restrict the basic PHP mail function or limit sending. Fix: use an SMTP library (such as PHPMailer) with a proper mailbox or transactional email service.
3. Wrong recipient address
The form sends to an old email or one with a typo. Check the configuration.
4. JavaScript errors
Forms submitted via JavaScript fail silently if a script breaks (often after adding a new plugin or chat widget). Open the browser console to check for errors.
5. Database errors
If the form saves to a database first, a column mismatch or full database can stop the process before email is sent. Server error logs reveal this.
6. Spam protection blocking real users
Overly strict captchas or firewall rules can block genuine visitors. Test from different networks and devices.
7. SSL or mixed content issues
Forms posting from HTTPS pages to HTTP URLs may be blocked by browsers.
8. Mail sent from Gmail via SMTP without app password
Gmail and other providers block basic password logins for SMTP. Use app passwords or the provider's recommended method.
Make forms reliable
- Save every submission to a database/admin panel as well as emailing it.
- Send a copy to WhatsApp or a second email for important leads.
- Show a clear success message with your phone number.
- Test forms weekly — put it in your maintenance checklist.
Frequently Asked Questions
Why do I get form emails sometimes but not always?
Often spam filtering, sending limits, or intermittent server errors. Check logs and authentication.
Should form emails come from the customer's email address?
No — send from your own domain and set the customer's address as "Reply-To", otherwise emails fail authentication.
How do I know how many leads I've missed?
If submissions aren't stored anywhere, you can't — which is why database storage matters.
