For a large share of Indian buyers, WhatsApp feels more comfortable than any checkout page. They can ask a question, see a photo, negotiate a little and pay by UPI, all in one chat. Many small sellers already take orders this way. The difference between chaos and a smooth business is organisation.
Use WhatsApp Business, not personal WhatsApp
The free WhatsApp Business app adds: - A business profile (address, hours, website, description) - Catalogue of products with photos, prices and links - Quick replies for common questions - Labels to organise chats (New order, Paid, Shipped, Delivered) - Greeting and away messages
For higher volumes or automation, there's the WhatsApp Business Platform (API) through providers. See App vs API.
Set up your catalogue
- Add products with clear photos, short descriptions and prices
- Group them into collections (e.g. Men, Women, New Arrivals)
- Share individual product links on status, groups and social media
- Customers can add items to a cart and send it to you as a message
Keep the catalogue updated; selling an item that's out of stock creates the same problems as on a website.
A simple order process
- Customer sends cart or asks for a product
- Confirm details: size, colour, quantity, delivery address with pincode
- Send total including delivery charges
- Payment: UPI QR or payment link (from your payment gateway or UPI app). Avoid asking customers to pay to personal numbers
- Confirm payment and send an order number
- Ship and send tracking
- Follow up after delivery: ask for a review or photo
Use quick replies for each step so messages are consistent and fast.
Labels keep you sane
Label every chat by its order stage. At the end of the day, filter by "Paid – not shipped" to see exactly what needs packing.
Keep records outside WhatsApp
Chats get lost. Record every order in your store admin, billing software or at least a Google Sheet: date, customer, items, amount, payment status, tracking. This also helps at GST time.
WhatsApp + your website: a strong pair
A website and WhatsApp work best together: - Your website brings new customers from Google and ads, builds trust and shows your full range with prices and policies - WhatsApp handles questions and closes the sale
Practical connections: - A WhatsApp button on every product page that pre-fills a message with the product name - A cart that sends the order summary to WhatsApp instead of a full checkout. Ideal for made-to-order products - Click-to-WhatsApp ads that open a chat directly. See click-to-WhatsApp ads
Etiquette and trust
- Reply quickly; set expectations with an away message
- Don't add people to broadcast lists without consent
- Don't send too many promotional messages
- Share your return policy and business address so buyers feel safe

When to move beyond WhatsApp-only
If you handle dozens of orders a day, need multiple staff on the same number, or want automated order updates, consider the WhatsApp API and an online store with integrated order management.
